Our values guide everything that we do — including how we use personal data. We are committed to keeping your personal data safe and protecting the personal information entrusted to us.

The Savoy Clinic, Ltd. (“we,” “us,” or “our”) provides online professional development and training for mental health professionals. We are committed to protecting the privacy of our participants while preserving our instructional content and safety standards. This Privacy Policy outlines how we collect, use, share, retain, and safeguard personal information in compliance with the British Columbia Personal Information Protection Act (PIPA) and the Canadian Personal Information Protection and Electronic Documents Act (PIPEDA).

Information We Collect and How We Use It

Because we do not issue grades, assign homework, or take formal academic notes, we only collect the minimum information necessary to register you, verify your professional eligibility, maintain ethical training containers, deliver the training, and meet our legal and business obligations.

Registration Data: When you sign up for one of our offerings, we collect your name, email address, professional designation/license number (if applicable), and billing address. This data is collected via online forms and stored securely on our website servers to manage your enrollment and send you training access links.

Professional Credentials: To ensure participants meet the foundational requirements for our offerings, we may collect a digital copy or photograph of your graduate degree or professional clinical credentials during the application process.

Dual & Overlapping Relationships Disclosure: To maintain the clinical, relational, and ethical integrity of the training environment—and to comply with professional licensing standards—our forms may request that applicants indicate if they have a pre-existing professional, supervisory, or therapeutic relationship with other participants in the offering. To protect user privacy, this disclosure is strictly limited to identifying who the relationship is with, and we do not collect specific clinical histories or personal backstories regarding the relationship. This is used solely to manage safe training logistics and preserve appropriate boundaries.

Payment Information: We do not collect or store credit card numbers or banking details. All payments are processed strictly via Interac e-Transfer, not through this website. Any financial information visible during the transaction (such as your bank’s confirmation name or email) is handled by your financial institution and is not stored by us. We retain payment confirmations and related correspondence strictly for internal accounting and tax purposes. E-transfer emails are retained for seven (7) years.

Live Training, Video Recordings, and Intellectual Property

We record the live online training sessions. These recordings form a core part of our instructional assets and intellectual property. Recordings may capture participants’ names, voices, faces, posture, visible reactions, and contributions to group discussions.

Camera-On Policy: To preserve the psychological safety and relational integrity of the training environment, and to verify attendance for continuing education credits, and to verify that only the registered clinician is in attendance, participants are required to keep their web cameras turned on during all live sessions (unless temporarily excused due to illness).

Storage and Recording Format: Sessions are recorded in Gallery View format (capturing all active participant video feeds simultaneously) to allow the instructors to track and review group dynamics, and maintain clinical teaching supervision. Video files are captured utilizing Zoom’s local recording feature and bypass Zoom’s cloud storage infrastructure. Master recordings are maintained strictly within secure, password-protected, and restricted-access local storage environments accessible only to authorized personnel.

Distribution to Course Participants (Audio Only): If a student is unable to attend a live session, we share a stream-only audio recording of the lecture and subsequent discussion for their asynchronous professional development. Occasionally, a student may also be given access to an audio recording from a different class. To protect classroom privacy, these audio files are hosted temporarily on Dropbox with downloading disabled and are permanently deleted from the cloud environment once the student has completed their review. Downloading or copying this audio file is strictly disabled, but we cannot guarantee that a recipient will not find an external method to duplicate the stream. Full video recordings are not distributed to students.

Professional Supervision: Full Gallery View video recordings are strictly confidential and are only accessed by the instructors or shared securely with an official clinical supervisor for the purpose of teaching oversight and curriculum refinement.

Live Demonstrations and Classroom Non-Disclosure: To safeguard participant vulnerability, live experiential training demonstrations involving personal student work are strictly confidential and are never recorded or archived by us in any format. All participants are strictly bound by our separate Code of Conduct and Participation Agreement, which strictly prohibits recording, photographing, or sharing details of peer experiential demonstrations outside the live classroom container.

Retention: Training recordings are securely retained for a period of fifteen (15) years by The Savoy Clinic Ltd. as intellectual property for ongoing educational review, professional archiving, and internal quality oversight purposes, after which they are permanently deleted from our secure local drives.

Participant Privacy and Consent: Because cameras are required and recorded in Gallery View, your face, posture, and visible reactions will be captured continuously on our master archive during group experiential, lecture and discussion segments. By registering for and participating in our live courses, you explicitly consent to your ongoing inclusion in this group recording for supervision and its audio-only distribution to fellow course participants, including students from a different class, as outlined above. Consent to recording is a condition of participation; participants who do not consent cannot attend the training.

Clinical Confidentiality Waiver: Participants are strictly prohibited from sharing identifying or insufficiently de-identified patient or client information during sessions. If you choose to ask a question or discuss a case study, you are solely responsible for ensuring no privacy breaches occur. The Savoy Clinic Ltd. is not responsible for any confidential clinical data disclosed by participants

Data Retention and Security

The security of your personal information is very important to us. We use physical, electronic, and administrative measures designed to secure your personal information from accidental loss and from unauthorized access, use, alteration, and disclosure.

Registration Records & Correspondence: In compliance with Canada Revenue Agency (CRA) guidelines, digital registration forms, uploaded degree/credential verifications, overlapping relationship disclosures, e-transfer confirmation logs, and corresponding email threads regarding your active course participation/attendance are securely retained for seven (7) years for tax, regulatory, and accounting audit purposes, after which they are permanently purged. General inquiry emails are deleted periodically.

No Academic Records: We do not generate, track, or retain student notes.

Website Security: Registration data, disclosures, and file uploads stored on our website are protected using standard administrative and technical safeguards, including SSL encryption (https://) and secure login protocols. Our email accounts use Multi-Factor Authentication (MFA).

Local Security: Local hardware storing the permanent training recordings or downloadable registration logs is password-protected, encrypted, and accessible only to authorized personnel.

Internet Transmission Disclaimer: Unfortunately, the transmission of information via the Internet is not completely secure. Although we do our best to protect your personal information, we cannot guarantee the security of your personal information transmitted to our Website. Any transmission of personal information is at your own risk. We are not responsible for circumvention of any privacy settings or security measures contained on the Website.

Webinars and Temporary File Sharing: We use Zoom to deliver live online trainings/offerings. We utilize Dropbox for the secure cloud storage of audio recordings for the temporary, short-term hosting and stream-only distribution of audio files. Because we utilize third-party cloud services like Zoom, Mailchimp, and Dropbox, some data processing may occur outside Canada (such as in the United States), where it may be subject to the lawful jurisdictions of those territories. We maintain strict administrative oversight over these accounts, use password protection, and enforce access restrictions to protect your information under our control.

Legal Disclosures and Regulatory Bodies

The Savoy Clinic Ltd. reserves the right to disclose personal data, recordings, or communications without participant consent if required by law or in a good-faith belief that such action is necessary to:

Comply with a subpoena, warrant, or court order.

Cooperate with investigations by a professional regulatory body or licensing college.

Protect the safety, rights, or property of our clinic, participants, or the public.

Third-Party Services

While your data lives on our website and local drives, we use third-party platforms to run our webinars (such as Zoom). These providers have their own privacy policies and may process data outside of Canada. By registering, you acknowledge that your data may be processed through these essential platforms.

Website and Newsletter Information

Our website is hosted by Hosting Nation. Contact and registration forms use Gravity Forms, and Google CAPTCHA helps protect forms from spam.

Newsletter signup is separate from course registration. If you subscribe, we use Mailchimp to send updates about trainings and events. Subscription uses double opt-in, and each newsletter includes an unsubscribe link.

We use Google Analytics through a Google tag to understand how visitors use our website. It may collect information such as pages visited, approximate location, and browser or device information through cookies and similar technologies. We are not currently running advertising through the website. If we begin using advertising tools, we will update this policy as needed.

We use cookies—small text files stored on your device—to support website functions, remember your cookie preferences, enable comments, and help protect against spam through Google reCAPTCHA. We also use Google Analytics to understand how visitors use our website and improve its performance. Depending on their purpose, cookies may expire when you close your browser or remain for up to two years. These website service providers may process information outside Canada.

If you contact us through the website, we collect the information you provide, such as your name, email address, and message, so that we can respond.

Your Rights (Access and Correction)

Under BC PIPA, you have the right to request access to the registration data we hold about you or request that we update/correct it. We will respond to any data access requests within 30 days. Due to our intellectual property rights and the shared nature of group recordings, individual requests to redact, delete, or withdraw consent from a multi-participant training archive cannot be accommodated once the session has concluded.

We may update this policy as our practices change. We will post the revised version on this website and update the date listed at the top of this page. If a change requires additional notice or consent, we will provide it.
